Instill Excellence Ltd is a UK‑based company that supports schools to improve attendance and performance through expert consultancy, training and resources.

What Data We Collect and Why

  • Names, email addresses, phone numbers – To respond to enquiries, bookings and support requests. Lawful basis: Contract; Recognised Legitimate Interests.

  • School name, role/title – To deliver tailored consultancy and training services. Lawful basis: Contract.

  • Technical information (IP address, browser, cookies) – To maintain site functionality and analyse usage. Lawful basis: Consent (for non-essential cookies).

  • Communication & marketing preferences – To send newsletters or updates you have requested. Lawful basis: Consent; Recognised Legitimate Interests.

We do not process special category data or use automated decision‑making for marketing or profiling.

Recognised Legitimate Interests

 

Under the Data Protection and Digital Information Act 2025 (also known as the DUAA), we rely on the new lawful basis of recognised legitimate interests when:

  • Communicating with existing or prospective school partners about relevant services

  • Sending service updates related to enquiries you have made

You may object to processing based on recognised legitimate interests at any time.

 

Cookies & Analytics

 

We use essential cookies for security and basic functionality. We use non‑essential analytics cookies only with your consent. You may update your cookie preferences at any time via the cookie banner or your browser settings.

Who We Share Your Data With

 

Personal data may be shared only when necessary and under appropriate safeguards with:

  • Cloud hosting and email providers (e.g. Microsoft, Google)

  • Trusted analytics providers (e.g. Google Analytics)

  • Sub‑contractors engaged to deliver our services (only where required and under contract)

We never sell or rent your personal data to third parties.

 

International Transfers

 

If we transfer data outside the UK, we ensure an ICO‑recognised safeguard is in place (such as an adequacy decision or Standard Contractual Clauses).

 

How Long We Keep Your Data

  • Enquiry data: up to 12 months

  • Client data: up to 7 years to meet legal and accounting obligations

  • Marketing preferences: until you withdraw consent or opt out

You may request deletion of your data at any time (see Your Rights, below).

Your Rights

 

Under the UK GDPR and Data Protection Act 2018, you have rights to:

  • Access the personal data we hold about you

  • Correct inaccurate data

  • Delete your data (“right to be forgotten”)

  • Restrict or object to certain processing

  • Data portability, where applicable

  • Withdraw consent at any time (for marketing or cookies)

Working with Children’s Data

 

As part of our services to schools, we may be provided with limited personal data about pupils, including their name, address, parent/guardian contact details, and relevant attendance context.

We process this data solely under the school’s instructions and for the following purposes:

  • Conducting home visits and attendance support

  • Providing tailored consultancy to improve pupil engagement

Our safeguards include:

  • Data minimisation: We collect and retain only what is strictly necessary.

  • Secure storage & access: Data is encrypted at rest and accessible only to trained staff.

  • No third‑party sharing: We do not share pupil data except as expressly authorised by the school.

  • Timely deletion: We delete or return pupil data once our engagement ends, in line with school agreements.

We do not knowingly collect data directly from children or provide online services directed to them. We observe the principles of the Age Appropriate Design Code where relevant.

We review this notice at least annually, or sooner if the law or our practices change. Please check back for updates. This version is current as of 23 June 2025 and reflects the Data Protection and Digital Information Act 2025.
